How calendar QR codes work

The QR code contains a standard calendar event (VEVENT) with your title, times, location and description. Scanning it on most phones shows an “Add to calendar” option. The event is saved in the guest's own calendar app, with its normal reminders.

Where to use one

  • Wedding, birthday and reception invitations.
  • Webinars, workshops and conference sessions.
  • School events, parent–teacher meetings and exam dates.
  • Product launches, sales and store openings.
  • Doctor and salon appointment cards.

Tips

  • Pair it with a Google Maps QR code for directions.
  • For online events, put the meeting link in the description.
  • Keep the description short — long text makes the code denser and harder to scan.

Common Questions

Does it work on iPhone and Android?

expand_more

Most modern phones recognise calendar QR codes. On some Android phones the camera shows the event details and you may need a QR scanner app or Google Lens to add it.

Which time zone is used?

expand_more

The time you enter is converted using your device's time zone, so guests see the correct local time in their calendar.

What if the event changes?

expand_more

The details are stored inside the QR code, so you'll need to create a new code. For changing events, link to an event page instead.

Can I add a reminder?

expand_more

Guests' calendars add their default reminders automatically when they save the event.

Is it free?

expand_more

Yes. It's free to create and download, with no watermark and no sign-up.
